1. Introduction

This Privacy Policy explains how C.A.T Folder (“we,” “us,” or “our”), a United States–based sole proprietor business, collects, uses, discloses, and protects information in connection with our AI-assisted automation and SMS communication services (the “Services”). Our Services help businesses manage transactional and informational communications with their customers and Recipients, including appointment-related messages, service updates, and internal notifications. C.A.T Folder acts as a service provider; our customers are the message senders of record and are responsible for obtaining consent and complying with applicable messaging laws.

We are committed to handling personal information in a responsible, transparent manner and in accordance with applicable U.S. laws and industry standards. This Privacy Policy applies to information we collect through our website at catfolder.com, related landing pages, web forms, onboarding processes, SMS interactions, and other channels where we provide the Services.

By accessing or using the Services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with this Privacy Policy, you should not use the Services.

2. Information We Collect

We collect information to provide, maintain, and improve our Services, and to support our business operations. The information we collect falls into the categories below.

2.1 Personal Information

Personal information is information that identifies, relates to, or can reasonably be linked to an individual. Depending on how you use the Services, we may collect:

  • Names (such as first and last name);
  • Phone numbers;
  • Email addresses (if provided);
  • Appointment details and scheduling information;
  • Service-related information, such as job location, requested services, and internal notes relevant to providing the Services.

2.2 Information You Provide Directly

We collect information that you or your authorized representatives provide when you:

  • Fill out website forms, booking forms, or service request forms;
  • Complete internal onboarding or intake forms we provide to help configure automations and workflows;
  • Communicate with us by email, phone, SMS, or other channels; or
  • Provide customer or crew details needed for scheduling, reminders, and operational notifications.

2.3 Usage and Technical Information

When you visit our website or use the Services, we may automatically collect limited technical and usage information, such as:

  • Device and browser information (e.g., browser type, operating system);
  • IP address and general location (city/region, not precise GPS);
  • Pages visited, referring pages, and time spent on our website;
  • Log and diagnostic data related to the performance and use of the Services.

We use this information primarily to secure, maintain, and improve the performance and reliability of the Services.

2.4 SMS and Communication Data

When you or your Recipients use SMS or similar channels enabled by the Services, we may collect message content, timestamps, phone numbers, delivery status, and related metadata. This information is used solely to provide transactional and informational communications, such as appointment reminders, service updates, and internal notifications.

3. How We Use Information

We use the information we collect for the following purposes:

  • Service delivery: To provide and operate the Services, including handling bookings, sending appointment confirmations and reminders, delivering service-related notifications, and supporting daily operations.
  • Automation: To configure, run, and optimize AI-assisted workflows, such as automated responses, scheduled reminders, and internal notifications, based on rules and preferences you define.
  • Support: To respond to inquiries, provide customer support, troubleshoot issues, and communicate with you about your account or the Services.
  • Maintenance and improvement: To monitor performance, analyze usage, improve reliability, and develop new features or enhancements.
  • Security and fraud prevention: To help protect the Services, detect and prevent abuse, unauthorized access, or other harmful activity.
  • Compliance: To comply with applicable laws, regulations, legal processes, and enforce our agreements, including our Terms of Service.

We do not sell personal information, do not purchase third-party marketing lists, and do not use scraped data for our Services.

4. SMS Communications & Consent

The Services may enable you to send SMS and similar messages to your customers, Recipients, and internal team members. Messages are triggered by appointments, service activity, account actions, or other operational workflows—not for marketing or promotional purposes. Typical messages include appointment confirmations, appointment reminders, and service updates. Example messages include appointment confirmations, appointment reminders, technician en-route notifications, service completion confirmations, customer support status updates, and internal operational alerts. Messages are sent only after a user-initiated action or service event, such as booking an appointment, requesting service, receiving a status update, or internal operational assignment, and are never sent for promotional or marketing purposes. We support only permission-based, transactional and informational messaging.

4.1 Opt-In

SMS messages are sent only after explicit opt-in from the Recipient. Opt-in may be collected through:

  • Website forms, booking forms, or service request forms that clearly state SMS will be used for transactional and informational messages (e.g., appointment reminders, service updates); or
  • Other documented processes where Recipients knowingly agree to receive SMS related to appointments, services, or account activity.

Where consent is collected via a web or other form, any SMS consent checkbox must be unchecked by default and accompanied by clear disclosure at the point of opt-in. We do not support or permit unsolicited marketing, cold outreach, or the use of purchased, scraped, or third-party marketing lists. The Services are not used for marketing or promotional SMS. Messaging may be subject to applicable U.S. laws, such as the Telephone Consumer Protection Act (TCPA) and related regulations; our customers are responsible for their own compliance with such laws.

4.2 STOP and HELP

Recipients may manage their SMS preferences at any time:

  • STOP: Recipients may text “STOP” (or other supported opt-out keywords) to opt out of further SMS. Upon a valid opt-out request, further messages must cease, except for a one-time, final confirmation message confirming the opt-out, where permitted by applicable guidelines.
  • HELP: Recipients may text “HELP” to receive information about the messaging program (e.g., support or contact details), where supported by the underlying carriers and systems. Opt-out and HELP requests must be honored promptly.

4.3 Message Frequency and Charges

Message frequency may vary based on appointments, service activity, and configuration of automations. Message and data rates may apply, depending on each Recipient’s mobile carrier plan. Consent to receive SMS is not a condition of purchase.

4.4 Carrier Liability

Wireless carriers and communication service providers are not liable for delayed or undelivered messages. Delivery, timing, and availability depend on network conditions, device settings, and third-party infrastructure outside our direct control.

5. AI & Automated Processing Disclosure

The Services may use artificial intelligence and automation to help draft, route, schedule, and send messages, and to manage workflows such as appointment reminders, status updates, and internal notifications.

AI systems may process the personal and service-related information you provide (for example, names, phone numbers, appointment details, and message history) to generate suggested content, determine timing for reminders and notifications, and support operational workflows.

AI-assisted content may not always be accurate or appropriate for every situation. You are responsible for reviewing, approving, and controlling the messages and workflows used in your business and for all outcomes that result from their use. We do not use AI to profile individuals for advertising or unrelated marketing, and we do not sell personal information.

6. Data Sharing & Third Parties

We share information only as necessary to provide the Services, comply with the law, or protect our rights. We do not sell personal information and we do not share personal information with third parties for their own advertising or marketing purposes.

6.1 SMS and Communication Providers

We use third-party communication platforms and carriers (such as Twilio and mobile network operators) to deliver SMS and other messages. These providers process phone numbers, message content, and metadata solely to transmit and deliver communications. C.A.T Folder is a service provider facilitating messaging on behalf of customers; customers are the message senders of record. We do not control carrier or aggregator performance and are not responsible for their actions or omissions.

6.2 Infrastructure and Service Providers

We may use hosting providers, cloud infrastructure, and other technical vendors to operate and secure the Services. These service providers may have access to personal information only to the extent reasonably necessary to perform their functions on our behalf and are obligated to protect it and use it only for the services they provide.

6.3 Legal Compliance and Protection

We may disclose information if we believe in good faith that such disclosure is necessary to:

  • Comply with applicable law, regulation, legal process, or governmental request;
  • Enforce our agreements, including our Terms of Service;
  • Protect the security, integrity, or rights of C.A.T Folder, our users, or the public.

7. Data Retention

We retain personal information only for as long as reasonably necessary to:

  • Provide and support the Services;
  • Maintain business and operational records;
  • Comply with legal, tax, or accounting obligations; and
  • Resolve disputes and enforce our agreements.

When personal information is no longer needed for these purposes, we may delete it, anonymize it, or securely store it in an archived form, consistent with applicable law and our data retention practices.

8. Data Security

We implement reasonable technical and organizational measures designed to protect personal information from unauthorized access, use, disclosure, or loss, consistent with the nature of our Services and the data we process. These measures may include access controls and encryption in transit where appropriate.

No method of transmission over the internet or electronic storage is completely secure. We cannot guarantee the security of information, and you provide information at your own risk. You are responsible for maintaining the security of any credentials or systems you control that interact with the Services.

9. User Rights

Depending on how you interact with the Services, you may have the following options with respect to your personal information, where applicable under U.S. or other applicable law:

  • Access: You may request information about the personal information we hold about you.
  • Correction: You may request that we correct or update inaccurate or incomplete personal information.
  • Deletion: You may request that we delete certain personal information, subject to legal and operational requirements.
  • Opt-out of SMS: Recipients may opt out of SMS at any time by replying “STOP” to any message, or by contacting the message sender or us using the information below.

To exercise any of these rights or submit a privacy-related request, please contact us at info@catfolder.com. We may need to verify your identity before responding to your request.

10. Children’s Privacy

The Services are intended for use by businesses and adults and are not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will take reasonable steps to delete such information. If you believe a child under 18 has provided us with personal information, please contact us using the information below.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the Services, or applicable laws. When we do, we will revise the “Last Updated” date at the top of this page.

We encourage you to review this Privacy Policy periodically. Your continued use of the Services after any changes to this Privacy Policy signifies your acceptance of the updated policy.
